Fire & Air Pilot — Terms of Use

1. What This Is
These terms govern use of the Fire & Air Pilot (the "Pilot"), an internal work management application owned and operated by Advanced Mechanical Solutions, LLC d/b/a Fire & Air ("the Company").
The Pilot is not a public product. It is not sold, licensed, or offered to anyone outside the Company. It is provided to our employees and authorized contractors ("you") as a tool for doing your work.
By signing in, you agree to these terms.
2. Your Permission to Use It
The Company grants you a limited, personal, non-transferable permission to use the Pilot for Company business, for as long as you are employed or engaged by the Company and your access is active.
This permission is not ownership. It can be changed or withdrawn at any time.
3. Your Account
You sign in with your Fire & Air Google Workspace account.
Your account is yours alone. Do not share your sign-in with anyone, including other employees. If you believe someone else has used your account, tell the Company immediately.
You are responsible for what happens under your account.
4. Acceptable Use
You agree to:
- Use the Pilot only for Company work.
- Enter accurate information, including time records, job notes, and parts requests.
- Treat customer information as confidential.
You agree not to:
- Copy, export, download, or photograph customer lists, pricing, cost information, or job records for any purpose other than Company work.
- Share Company or customer information with anyone outside the Company.
- Attempt to access parts of the system your role does not give you.
- Use the Pilot to store anything unlawful, or anything unrelated to Company work.
- Attempt to circumvent, disable, or interfere with the system's security or access controls.
Texting customers from the Pilot
Text messages sent from the Pilot go to the customer from the Company’s number, not from your own. They are about that customer’s work — telling them you are on the way, asking a question, confirming a decision. A text cannot be unsent.
You agree to:
- Text customers only about their own work with the Company.
- Write as you would in an email the office might read, because it is kept with the customer’s record and other staff can see it.
- Keep gate codes, alarm codes, key locations and similar access details out of text messages, and record them against the property in the Pilot instead.
- Stop texting a customer who asks you to stop, and tell the office.
You agree not to:
- Send marketing, promotional or bulk messages of any kind from the Pilot.
- Text a customer from the Pilot about anything unrelated to their work with the Company.
5. Time and Payroll Records
Time recorded in the Pilot is used to calculate pay. You are responsible for the accuracy of your own entries.
If an entry is wrong, correct it as soon as you notice. Where a record has been locked for payroll and can no longer be edited, ask the office to correct it rather than working around it.
Deliberately recording time that was not worked is handled under the Company's normal employment policies, not under these terms.
6. The Company's Information
All information in the Pilot — customer records, job records, pricing, notes, photographs, drawings, and time records — belongs to the Company.
This includes work you create in it. Nothing here gives you any ownership of that information, and your obligations regarding it continue after your engagement ends.
7. Monitoring
The Pilot records what is entered into it and when, including changes made to existing records. This is how it keeps accurate work and payroll records, and it applies to everyone.
Text messages sent to and received from customers are kept with that customer’s record and are visible to office staff. The record shows that a message was sent and who sent it.

8. When Your Access Ends
Your access ends when your employment or engagement with the Company ends, or earlier if the Company withdraws it.
The Company may suspend or withdraw access at any time, with or without notice, including where these terms have been broken.
When access ends, you must stop using the Pilot and return or delete any Company information held on your personal devices.
9. Personal Devices
Where you use the Pilot on your own phone or tablet, you remain responsible for the security of that device, including keeping it locked and its software current.
Tell the Company promptly if a device you use for work is lost or stolen, so your access can be revoked.
10. It Is Provided As Is
The Pilot is provided as is, without warranties of any kind. The Company does not warrant that it will be uninterrupted, error free, or available at any particular time.
The Pilot depends on services operated by others, including QuickBooks Online, Google Workspace, and our hosting provider. Interruptions to those services will interrupt the Pilot, and that is outside the Company's control.
11. Limitation of Liability
To the fullest extent permitted by law, the Company is not liable for any indirect, incidental, or consequential losses arising from use of the Pilot, or from its unavailability.
Nothing in these terms limits any right you have that cannot be limited by law, including rights relating to the payment of wages.
12. Changes to These Terms
The Company may update these terms. Changes will be posted on this page with a new effective date. Continued use after a change means you accept it.
13. Relationship to Your Employment Terms
These terms govern your use of the Pilot only. They do not replace, limit, or vary your employment agreement, the employee handbook, or any other terms of your engagement with the Company, and nothing in them affects your rights as an employee.
If anything here conflicts with your employment agreement or with applicable employment law, those terms apply and these do not.
14. Severability
If any part of these terms is found unenforceable, the rest continues to apply.
15. Governing Law
These terms are governed by the laws of the State of Wyoming, without regard to its conflict of law rules. Where you perform work in another state, the employment laws of that state apply to your employment regardless of this section.
